Administrative Assistant II

Job Responsibilities

As an Administrative Assistant, you will perform administrative support duties including creating and maintaining documents in MS Word. This role will be located at the reception desk and will also be responsible for greeting visitors and clients and answering and transferring incoming calls, which will be minimal.

Administrative Assistant additional responsibilities:

  • Format and edit specifications for projects
  • Input data into proposal tracking and contact management system (Deltek)
  • Assist other administrative team members with logging submittals and RFI’s (Newforma)
  • Assist with travel arrangements and support team with expense reports
  • Maintain and manage conference room calendars and order catering for meetings
  • Interface with building management for office maintenance
  • Order and maintain inventory of office supplies
  • Assure conference room schedules are accurate and anticipate scheduling conflicts
  • Plan and coordinate team events and outings
  • Maintain office equipment and handle all shipping and messenger needs
  • Train new hires on General Office procedures
  • Under the guidance of the managing director, review invoices for accuracy and submit to Accounting for processing
  • Assist with implementation of initiatives or projects as requested

Administrative Assistant/ requirements:

  • High School diploma with College or business school degree preferred
  • 3 - 5 years of equivalent work experience
  • Proficient knowledge of Microsoft Office Suite (Word, Outlook, Excel, PowerPoint)
  • Working knowledge of Bluebeam and Skype for Business
  • Familiarity with Deltek, Newforma and BST, a huge plus
  • Prior experience with an Architectural or Engineering firm, a huge plus
  • Ability to work with minimal supervision and to work in a time sensitive work environment
  • Excellent communication, organizational, inter-personal skills and ability to collaborate in a team environment
  • Project a professional image both in-person and on the phone
  • Flexibility to work overtime when needed
