Project/Office Assistant

We currently have an opportunity for a Project/Office Assistant to join our Chicago office. This role will be responsible for providing project and administrative support to facilitate the planning and coordination for projects and office needs.  The ideal candidate will be a self-starter and have strong multitasking and organizational skills, and eager to learn while using the resources around them.  

Job Responsibilities

In this role you will draft and/or type specifications, proposals, reports and presentations following prescribed formats or establishing new formats. For projects you will log project RFIs and submittals and assist with business development tracking including logging leads and proposals. This role will support project managers in logging incoming and outgoing documents and keeping track of project commitments as requested and preparing transmittals and drawings for delivery via messenger, FedEx/USPS.

Additional responsibilities:

  • Ensure office facilities are well maintained, operating properly and supplied
  • Interface with corporate Human Resources: interview schedule, orientation, etc.
  • Train new hires on general office procedures
  • Assist with travel arrangements and support group leader with expense reports
  • Arrange meetings, order meals and set-up & maintain conference rooms including scheduling
  • Ensure conference room schedules are accurate and anticipate scheduling conflicts
  • Review invoices for accuracy and submit to accounting for processing
  • Plan and coordinate team events and outings
  • Answer and screen calls including interfacing with clients both internal and external
  • Other duties as assigned by management

Required Knowledge/Skills/Abilities:

  • Excellent verbal and written communication skills with strong analytical skills
  • Proven ability to work effectively, both independently and in a team-based environment
  • Demonstrate willingness to be flexible and adaptable to changing priorities
  • Strong multitasking and organization skills
  • Ability to work with minimal supervision
  • Ability to maintain confidentiality both internally and externally

Project/Office Assistant

Job Requirements

  • Associates Degree in Business or other related field preferred; exceptional candidates may substitute with relevant experience
  • 3-5 years as an Administrative or Project professional is required
  • Previous relevant experience in the architectural, engineering and construction industry, a plus
  • Proficient in MS Suite including Outlook, Word, Excel and PowerPoint
  • Basic efficiency with Newforma and Adobe Acrobat, a plus
  • Flexibility for occasional overtime to meet project deadlines is required
