Administrative Assistant

This role will be responsible for providing administrative support to facilitate the planning and coordination of activities for our team.  The ideal candidate will be a self-starter and have strong multitasking and organizational skills, and eager to learn while using the resources around them.  

Job Responsibilities

In this Administrative Assistant role, there will be a significant amount of word processing for reports and specifications and completing project documents. You will type and route routine materials, correspondence, reports and presentations following prescribed formats. This role will also provide receptionist coverage for lunch breaks 1 to 2 days a week.

Administrative Assistant additional responsibilities:

  • Process and edit large volumes of documents (i.e. specifications, design criteria reports)
  • Edit and/or modify proposals and presentations for potential or existing projects
  • Track leads, proposals, and any other related items as directed
  • Assist with Business Development tracking consisting of leads and proposals
  • Interface with Marketing and other departments as needed
  • Create project binders/folders for project correspondence and documentation
  • Process drawing and prepare transmittals and drawings for delivery via messenger, FedEx/UPS
  • Draft follow-up emails for invoices/accounting as part of collections effort
  • Coordinate/maintain appointment calendars and external and internal meetings
  • Arrange meetings, order meals, and set-up and maintain conference rooms
  • Coordinate special events and communicate all logistics to the team as needed

Required Knowledge/Skills/Abilities:

  • Organize and express ideas and information clearly, using appropriate and efficient methods of conveying the information
  • Manage difficult issues with a clear head, finding the solution most beneficial to all concerned
  • Self-directed, able to multi-task and work with minimum supervision in a deadline-sensitive environment
  • The ideal candidate thrives in areas of initiative, quality of work, customer focus and troubleshooting

Administrative Assistant

Job Requirements

  • Associates Degree in Business or other related field preferred or equivalent work experience
  • 2 to 4 years’ experience in an administrative support role
  • Previous relevant experience in the architectural, engineering and construction industry, a plus
  • Strong Proficiency with MS Office and MS Outlook
  • Knowledge of Adobe In-Design and Adobe Acrobat
  • Knowledge of Deltek Vision, a plus
