Our Atlanta, GA office is looking for an Administrative Assistant to join their team.

Administrative Assistant

This role will be responsible for providing administrative support to facilitate the planning and coordination of activities for our team in Atlanta.  The ideal candidate will be a self-starter and have strong multitasking and organizational skills, and eager to learn while using the resources around them.  

Job Responsibilities

In this Administrative Assistant role there will be a significant amount of word processing for reports and specifications, and completing project documents. You will type and route routine materials, correspondence, reports and presentations following prescribed formats. This role will also answer, screen and transfer incoming calls while representing Syska in a professional and positive light.    

Administrative Assistant additional responsibilities:

  • Coordinate/maintain appointment calendars and external and internal meetings
  • Arrange meetings, order meals, and set-up and maintain conference rooms
  • Coordinate special events and communicate all logistics to office; collaborate with other office locations to help deploy corporate based events such as for diversity and inclusion and technical training
  • Assist with Business Development tracking consisting of leads and proposals
  • Coordinate, edit, and format client specifications and submittals for projects
  • Set up and maintain project Submittal and Request for Information (RFI) logs
  • Create project binders/folders for correspondence and documentation
  • Edit proposals and presentations for potential or existing projects
  • Prepare transmittals and drawings for delivery via messenger, FedEx/UPS
  • Input, coordinate and review timesheets of engineers as necessary
  • Make air and hotel travel arrangements when requested 
  • Interface with Accounting, HR, and other departments as needed
  • Maintain basic office supplies to include inventory and ordering

Required Knowledge/Skills/Abilities:

  • The desire to work with a small team as this is a small office
  • Organizes and express ideas and information clearly, using appropriate and efficient methods of conveying the information
  • Manages difficult issues with a clear head, finding the solution most beneficial to all concerned
  • Idea candidate thrives in areas of initiative, quality of work, customer focus and troubleshooting
  • Understanding of architectural engineering and construction industry, a plus
  • Self-directed, able to multi-task and work with minimum supervision in a deadline-sensitive environment​

Administrative Assistant

Job Requirements

  • Associates Degree in Business or other related field preferred or equivalent work experience
  • 3 to 5 years’ experience in an administrative support role 
  • Proficient in MS Outlook, Word and PowerPoint
  • Intermediate efficiency with Excel and Adobe Acrobat; ​knowledge of Deltek Vision, a plus
